What You’ll Do as a Billing Operations Specialist

The Billing Operations Specialist ensures timely and accurate processing of client-specific invoices, credit card transactions, driver payroll, and financial reporting. You’ll support the billing and accounting team, maintain compliance with internal controls, and drive efficiency within the department.

Key Responsibilities of a Billing Operations Specialist:

• Oversee daily billing for black car and limo services, process credit card payments, and balance transaction entries
• Generate weekly customer invoices and monthly revenue reports
• Manage high-volume contract billing cycles and ensure accuracy
• Review billing activity, assist staff with discrepancies, and resolve inconsistencies
• Partner with the local Controller on monthly reconciliations, reporting, and data analysis
• Ensure billing adheres to contracts and internal policies
• Communicate and help resolve billing issues with managers and clients
• Monitor A/R aging and assist with collection efforts
• Provide customer support for billing disputes, concerns, and inquiries
• Review daily taxi trip vouchers for accuracy and completeness
• Prepare and submit driver payroll reports for processing
• Handle check and credit card payments, petty cash counts, and reconciliation
• Support audits through research and documentation
• Identify and recommend process improvements, automation, and efficiency opportunities
• Develop expert knowledge of billing system functionality
• Maintain consistent communication with company leadership on billing operations and best practices

What You’ll Bring as a Billing Operations Specialist:

• Degree or 3+ years of experience in accounting, finance, or a related field
• Proven background in billing, accounting, or financial operations
• Experience with high transaction volumes and large customer bases
• Working knowledge of transportation or logistics accounting systems (preferred)
• Strong administrative and leadership skills
• Excellent time management, organization, and problem-solving abilities
• Thorough understanding of billing and A/R procedures
• Proficiency with Microsoft Office Suite and financial reporting tools
